Schedule of Values and Budget Mapping

How your detailed budget rolls up into the grouped lines your lender reads: reviewing SOV lines, mapping budget items, auto-mapping, locks, approval and versions.

Where this page sits

Four different jobs, four different pages:

Your budget is for you. The Schedule of Values (SOV) is for your lender. Mapping is what connects them.

What do I do next?

Open **Schedule of Values**. Read the coloured bar under the title and match it below.

The two lists

**SOV Lines** (on the Schedule of Values page) is your lender-facing list. A fresh project starts with a standard set — `01 - Site Prep / Clearing / Erosion Control` through `12 - Final / Punch / CO`, plus **Contingency** and **Builder Fee** — and one extra line called **Unassigned (Needs Mapping)**.

**Unassigned (Needs Mapping)** is marked **System**. You cannot rename or remove it. It is a holding pen: anything sitting there has not been given a home yet, and its row is highlighted.

Use **Add Line** to add a line your lender asks for, the pencil to rename one, and the bin to remove one. Removing a line does not delete money — every item mapped to it moves to **Unassigned (Needs Mapping)**.

*Professional builders:* the standard list is a starting shape only. If your lender hands you their own schedule, rebuild the lines to match their wording exactly. Their reviewer reads their labels, not yours.

Reviewing your categories

The **SOV Lines** table shows, per line:

| **Budget Amount** | The budgeted money of every budget item mapped to this line. |
| **% Complete** | **Money spent on this line ÷ budgeted money for this line.** It is a cost figure only. |
| **Spent** | Actual cost recorded against the mapped budget items. |
| **Remaining** | Budget Amount minus Spent. |
| **Items** | How many budget items feed this line. |

**% Complete is not a measure of finished work.** It only says how much of that line's money has gone out. A framing line can read 60% while the frame is barely standing, or read 20% with the frame finished and the invoice not yet entered. Never present it to a lender or an inspector as verified physical completion — lenders confirm progress by inspection.

The **Budget Amount**, **Spent**, **Remaining**, **Delta** and **Budget: … | SOV: …** figures come from the same calculation the Budget page shows as **Revised Budget** — quantity times unit price, sales tax, approved change orders and any budget transfers. If your SOV total does not equal your Budget total, the cause is mapping, not arithmetic: some budget items are not attached to a line yet.

Mapping budget items

Select **Mapping** (or **SOV Mapping** in navigation). One row per budget item.

  • **Cost Code**, **Description** and **Amount** identify the budget item.
  • **SOV Line** is a dropdown. Pick the line this cost belongs to. That is the whole action — the change saves immediately, and there is no separate Save button.

**Map several at once.** Tick the checkboxes on the left, then use **Assign to SOV line…** in the bar that appears, or **Clear** to drop the selection. The box in the header row ticks everything currently listed, so filter or search first if you only want part of the list.

**Narrow the list.** **Search cost codes…** matches the code, description or category. The **All**, **Unassigned (n)** and **Unmapped (n)** buttons switch what is listed.

**Automatic mapping.** **Auto-Map Defaults** appears when there is something to fix. It places items by NAHB cost code — 2000-series to Foundation, 3100s to Framing, and so on — and it only touches items that are unmapped or sitting in **Unassigned (Needs Mapping)**. It never overwrites a choice you made. When it finishes it reports how many items it moved. Anything it cannot recognise stays in **Unassigned (Needs Mapping)** for you to place by hand.

**One item, one line.** In the current app each budget item maps to exactly one SOV line. There is no percentage split of a single budget item across two lines. If a cost genuinely belongs to two lender categories, split it into two budget items on the **Budget** page and map each one.

Resolving unassigned and unmapped items

The four counters at the top of **SOV Mapping** mean different things:

  • **Mapped** — items sitting on a real SOV line.
  • **Unassigned** — items parked on **Unassigned (Needs Mapping)**. They have a mapping, just not a useful one.
  • **Unmapped** — items with no mapping row at all. These are the ones most likely to go missing from lender reporting.
  • **Total Items** — every non-group budget line on the project.

Work the **Unmapped** filter first, then **Unassigned**. Your target is the green bar on the Schedule of Values page: **All cost codes mapped — SOV matches budget**.

Locks, approval and New Draft

Three separate controls, often confused:

| **Structure Unlocked / Locked** | While locked, no one can add, rename or remove SOV lines. Mapping still works. |
| **Mapping Unlocked / Locked** | While locked, the **SOV Line** dropdowns become read-only badges and bulk assignment disappears. Line names can still change if structure is unlocked. |
| **Approve & Lock** | Marks this version **Approved** and switches both locks on at once. Any previously approved version becomes **Archived**. |
| **New Draft** | Copies the approved version's lines and mappings into a new editable version, numbered one higher. The approved version stays exactly as it was. |

**Approving here is your own internal sign-off. It does not mean your lender approved anything.** OwnerDraw does not send your SOV anywhere and receives no answer from your bank. Approving is you saying "this is the structure I am working to", which is why it locks editing and starts an audit trail entry.

Every add, rename, removal, mapping change, lock, approval and new draft is recorded. Select **Audit Log** to read the history.

Versions

When more than one version exists, a version selector appears next to the title (**v1 (draft)**, **v2 (approved)**, and so on) on both the Schedule of Values and SOV Mapping pages. The page opens on your working draft when there is one, otherwise the approved version.

An **approved** draw schedule keeps reading the Schedule of Values version it was approved on. Creating a new SOV draft afterwards does not change the lines or amounts shown on that approved schedule. To plan against a new SOV draft, open the Draw Schedule Builder and use **New Draft**.

When changes save, and what to do if saving fails

Everything on these two pages saves the moment you act — choosing a line, renaming, locking, approving. There is no Save button and nothing is held in a form.

If a save fails you get a red message with the reason, and the page reloads the stored values. The safe response is: reload the page, check whether your change is there, and try once more. If it keeps failing, the usual cause is a lock or an approved version — check the badge next to the title before assuming something is broken.

On a phone

Both pages work on a phone. Narrower screens hide the **% Complete**, **Spent**, **Items** and **Description** columns to keep the money columns readable; rotate to landscape or use a computer to see them all.
